Have you listened to an employee today?

 Have you ever gotten into your car, turned on news radio to
listen to traffic and weather and realized 30 minutes later, after 2 cycles of
this report, that you still did not know when it was going to start raining or
which route was accident free?I have; I did it on Tuesday. 
Like you I had a million other things on my mind and had not made a
conscious decision to listen to the broadcast I needed.  We do the same thing with our employees.

 I like to illustrate employee concerns using plates.  When employees come to you with an issue it
can seem really trivial.  The list of
things you have to do and the scope of your responsibility is much larger than
your employee’s.  You have a really full
plate, a platter, which has lots of items on it.  The issue the employee has brought to you can
seem like a really small item.  But for
the employee it takes up a larger part of their plate. 

 Here’s where listening comes in.  If you make a conscious decision to listen to
the employee you can resolve an issue or concern much more quickly.  It can also keep the issue from spilling over
to other employees.  The steps to show an
employee that you are listening start with facing them, using eye contact and
minimizing distractions.  If they come to
you at a time when you can’t devote the attention you’re much better off asking
them to return at a specific time than thinking about traffic and weather while
they’re describing an equipment deficiency.

 The next step in good listening is asking the right
questions.  Ask open ended questions to
let the person know you are actively involved in the conversation and to gain
good information.  You may find out
something that makes it easy to resolve the situation.  Or you may decide that there is nothing you
can do.  Either way this is the time to
paraphrase the employee’s comments. 
“Jim, I see you’re frustrated by the delay in receiving the materials
you need from the vendor.”

 In many situations the employee just needs to vent.  If I had a dollar for the number of times an
employee or client said, “Thanks, I just needed to talk. I would have collected
this morning.  It’s time well spent in
building trust and good working relationships.

 Good listening can be really powerful.  It can actually save time, and help you avoid
traffic jams.

 My company file size is 341mb and I need to reduce it. If I do as you said, start a new company file, and export my lists. What will happen with my open invoices, item list count (Quantity per item).
Do I have to go back and re-enter all those open invoices, bills, and totals ect..?

 Does this sound familiar? If you’ve been using QuickBooks for any length of time at all, you definitely need to start looking at file size before you get blindsided with problems in your data file. You can check your file size by pressing F2 from within QuickBooks. It will give you your file size in kilobytes. As per the question above, most file sizes are understood in ‘mega’bytes or MB not ‘kilo’byte or k – you can do a google search for file conversion calculators, I found one at http://www.matisse.net/bitcalc/.

 So, back to the original question…Do I have to go back and re-enter all those open invoices, bills, and totals, etc…?

 There is a tool that I have used in the past along with some of my colleagues, it is WONDERFUL…it is called the “Beginning Balance Transfer Utility.” It was developed by Karl Irving, a CPA out of Irving, TX. I’m going to include Karl’s Intro from his website for this utility (SEE BELOW), also included are screenshots of the utility. Let me also say this, along with a great product, without customer service and support, in my opinion, the product is nothing. I can honestly say that Karl does a superb job in support of his products!

Beginning Balance Transfer Utility
Overview
Introduction:
The Beginning Balance Transfer Utility allows you to take the ending balances in one QuickBooks file (as of any date) and make them the beginning balances in a new QuickBooks file. This allows you to start a new file with the least number of transactions in it. The new file will normally be smaller than a file that has been condensed.

After transferring the beginning balances to a new file, you can transfer transactions from the beginning balance date to the current date using our Data Transfer Utility.

IMPORTANT NOTE: This program is designed only for businesses using the accrual basis of accounting. QuickBooks reports run on the cash basis that include any receipts or payments affecting beginning balances created by this program will be incorrect.

The Beginning Balance Transfer Utility can transfer the trial balance, accounts receivable, accounts payable and inventory balances as of any date selected by the user. Uncleared bank transactions can also be transferred.

Here is a basic guide to the tenancy laws.Australia has retail tenancy laws designed to protect tenants from possibly entering into an unsound and harsh lease agreements with landlords. These laws are specific for each of the eight states. But the common thing about them is they seek to protect the tenants by making sure they — as well as the lessor — are informed about their rights under the law.
Retail Leases Act Definition
The Act is only applicable to lease agreements specified under the Act. As a matter of basic definition, according to New South Wales’ The Retail Leases Act of 1994, a retail shop lease is one entered by a lessee with a lessor that rents out at least five areas in a commercial area. But centers with rentable areas comprising at least 1,000 sq. m. is excluded. A more extensive definition that specifies exclusions and exemptions is contained in the actual Act. To determine whether your lease agreement is covered by your state’s retail tenancy law, you must read the whole document.
Retail Shop Lease Disclosure Obligation
One of the basic aims of the retail tenancy law is to compel lessors to be clear and accurate about the conditions and responsibilities of the parties in the lease contract so as not to misled or deceive the lessee. The Act wishes to ensure no deception is done to a retail lessor. If there is, the lessor may make a claim for compensation for loss or damages he suffered as well as request the termination of the contract within months of the discovery of the shortcoming of the lessor. To achieve the goal of equipping the lessee with knowledge of his rights under the law, the lessor is required to provide any prospect with a retail tenancy guide at the onset of negotiations. He is also mandated to provide a disclosure statement that provides in a clear manner all relevant terms and conditions of the lease contract.
