About The Client

Our client is a global leading manufacturer of commercial trucks, buses, defense vehicles and engines.

The Challenge

Our client recognized the value in implementing a full Strategic Meeting Management (SMM) program and chose Creative Group to support the initiative. Like many companies, key stakeholders had some visibility into overall global meeting spend, but the picture was incomplete. A greater understanding of meeting data, including overall volume, costs, and ROI was desired.

The goals were:

  • To identify and consolidate all meeting activity and data
  • To ensure scalability
  • To identify enterprise-wide spend
  • To devise internal policies and controls
  • To improve risk management related to contracting
  • To outline a single global meeting strategy for the company

Our role in solving  these business challenges included SMM program development, sourcing, meeting planning, logistical support, group air travel and on-site management services.

The Solution

We analyzed the current state of their program and outlined milestones that would move them to their desired state, through several phases.

Discovery
Comprehensive discovery took place to isolate goals and objectives, determine where work was being duplicated and where the company was most at risk. We conducted an audit of meeting activity (with an estimated % increase for unknown spend), and reviewed their meeting registration technology. As a critical step in successful change management, functional experts and department stakeholders were identified, and their input was woven into the overall strategy. Our teams worked closely together to ensure smooth communications during the onboarding and continued execution phases.

Design
With a better understanding of meeting activity and spend, we created an enterprise-wide system of policies, processes, and tools to align all meeting stakeholders with the corporate initiative. A specific meeting and registration policy was created. Forms and templates were designed to streamline the new processes and facilitate training. This included an event request form, event estimator calculator, change order, full event management scope of work and a contract approval form.

Deploy
A client advocacy board was activated to ensure that corporate executives and department heads were in alignment with, and could actively promote the initiative and support compliance. A communication and training protocol was established and deployed in waves to hundreds of employees, both in-person and via remote sessions. We additionally supported our client with “help desk” assistance for ongoing training needs, as new employees joined the company.

The Outcome

After the initial relationship kicked-off, quarterly business reviews were established to review trends and share the aggregated data from predetermined spend categories. Both the C-suite and procurement teams were pleased to have clearer visibility into meeting and event spend, which enabled greater accuracy in corporate budgeting. Through our buying power, streamlined hotel contracting processes, and continuous negotiating practices, our client realized an overall savings of 19% in the first year.

Ideally, parents would like to bring their kids to events that are not only entertaining, but also educational or beneficial to their child’s growth in some way. Brands should make an effort to emphasize the educational opportunities that kids will have at their event so parents know exactly how their kids will benefit from attending.

If your event is not educational, it’s important to emphasize other ways in which kids will benefit from the activities. For example, painting and sculpting may not be seen as educational opportunities, but these two activities can help kids tap into their creative sides and explore their talents. So, even though kids won’t necessarily be learning anything from painting and playing with clay, parents should still be able to see how attending this event could be beneficial to their children.

Entertain Mom and Dad

Marketers who are planning an event for kids often forget that kids will not be the only ones in attendance. Parents or guardians usually attend events with their children, so marketers will need to figure out a way to keep them engaged throughout the event.

Many brands set up separate areas within the event so parents and kids can each partake in different activities. However, some experts believe that this is not the right approach to take when planning an event for kids. These experts cite research that states many parents have a “Velcro mentality,” which means they want to stick by their kids’ sides and experience things together. Marketers can make parents with this mentality happy by planning events that allow parents and kids to engage in different activities together. Choose the Right Brand Ambassadors

Brand ambassadors can make or break your event—especially if it’s a kid-friendly activation. The ambassadors that you choose must be able to relate to both parents and children so they can engage with every guest at the event. Some children can be shy, especially when talking to adults, so the brand ambassadors must have a knack for drawing kids out of their shell. A lot of kids are also incredibly intuitive when it comes to reading people. These children will be able to tell right away if something is not being authentic, which is why it’s so important to choose the right ambassadors.

Brand ambassadors should also be trained to encourage parents and kids to try activities together. Parents may be hesitant to participate in certain activities, so they may need a bit of encouragement from friendly brand representatives.

Technology is Not Necessary

Technology is almost always incorporated into events that are targeting adult consumers. However, experts say that technology is not always a must-have for kid-friendly events. The younger the targeted audience is for the event, the less necessary technology may become.

If technology seamlessly fits into the plans for the event, then it’s perfectly fine for marketers to incorporate it into scheduled activities. But if it doesn’t, then there’s no reason to try to make it work. In fact, experts suggest that parents may prefer a technology-free event because it forces everyone to put their phones away and focus on spending time with one another.

If you want to encourage guests to share photos and videos on social media, set up a photo booth with branded props. Design With Durability in Mind

There’s a reason playground equipment is made out of heavy plastics instead of glass—plastic is a durable and safe material that kids can play on without getting hurt. Keep this in mind when designing the details of your event. Kids are not careful—especially when they are having fun and running around with friends and family—so make sure everything is designed with their safety in mind. Avoid sharp edges and slippery surfaces, and be sure to keep the aisles wide so parents pushing strollers can easily make it through. If there are potential hazards at your event, be sure to post adequate warnings and hire people to watch over the guests. For example, if your event’s venue has a swimming pool, hire lifeguards to stand by to ensure that everyone is safe and abiding by the rules.

Encourage Friendly Competition

Kids love a little friendly competition, so find a way to incorporate this into your event. Give kids the opportunity to challenge their friends, siblings, and parents to compete against them in various activities. For instance, let’s say you are planning an event with a fun obstacle course for kids. Instead of simply letting kids complete the obstacle course on their own, turn it into a competition where kids can challenge each other to see who makes it through the course the fastest. Most of us thought hard about what name to give our kids or the letters on our vanity license plates. Your company deserves this as well.

Objectives & Positioning.

You cannot begin to name your brand without establishing a clear brand positioning and business objectives which in the case of ad agencies sometimes just means sounding cool. In San Francisco alone, agency names span Muh-Tay-Zik Hof-fer’s self-love (OK, maybe its just name-play) to Argonaut’s promise of brand voyage (I assume) to Engine Company 1 (yes, you guessed it) to Butler, Shine, Stern & Partners and Goodby Silverstein & Partners’ authenticity (for old times sake) to BarrettSF and its hope for BarrettNY — I suspect.

I don’t have a favorite agency name. But, thinking strategically, 72andSunny comes close to a home run with its evocation of warmth, smiles and a really nice terrace. In this case, 72andSunny nails one of the most important attributes that clients look for in a new relationship — chemistry. I’ll have a chilled Rose with that Cleo, please.

Personality.

What is your advertising agency’s personally? Are your smart, friendly, quirky, sincere, a quant jock, strategic or give good lunch? Maybe you are about where you live like London Advertising and its delivery of “London creative excellence” to any client anywhere in the world. Smart positioning and smart name. yes, own the whole city, why not.

Competitive Review.

OK, this is a duh. A competitive review should examine your competitor’s brand positionings and their brand names. Depending who you talk to there are like 4,000 agencies in the USA. Sounding like the competition won’t help you stand out.

Two agencies in town named Bread and Butter won’t work. Hmmm, Saatchi & Saatchi and M&C Saatchi might not work that well either. But then, M&C wanted to piss off Saatchi and they delivered on their objective.

Brand Name Development.

Once you have your positioning and a deep understanding of your competition its time to review the type of names that will work hard for you. Are these neologisms, current usage words, hybrids, acronyms or founder names?

Trademark Review.

Performing a trademark review should be conducted early rather than later. Don’t fall in love with an agency name you can’t own (unless you have Apple-sized cojones.) There are three steps to reviewing trademarks. For initial review, I Google and Bing it, then its on to the United States Patent and Trademark Office trademark database. Use of this database is a good start but should not be considered conclusive.I also use the services of a trademark attorney. The final step is to trademark your new brand name. Believe me, get your trademark right because if you don’t it will eventually bite you hard.

Research.

Once I determine a set of potential brand names I pair these with the brand positioning and often a brand platform for each name to help evaluate the creative rationale and relative value of each name.

The names can be tested via qualitative (one-on-one or focus group methodology) or quantitative techniques including online surveys. Research? really? It sounds a bit pedantic right? It didn’t to Paul Malmstrom of Mother.

“The name ‘Mother’ basically came out of a focus group in the general public,” co-founder Paul Malmstrom told AdFreak. “Sixteen different tests were done around a randomly generated set of words, and all groups (except one) settled for ‘Mother’ as a top contender. The tests showed ‘Mother’ had pretty positive associations, ranging from ‘Nurturing,’ ‘Familiar’ to ‘Don’t eat with your mouth open.’ To the founders this seemed to be great values to base the agency on. Words not rated as high were, for example, ‘Wallet,’ ‘Meager’ and ‘Clogs,’ but a close runner-up was (inexplicably) the word ‘Wienerschnitzel.’ “
A Final Thought

Brand names do not work in an isolated environment. A brilliant brand name will not overcome the downside of a poor product or service; it will not be enough to surmount an ineffective marketing plan or inadequate budget. The powerful brand name must work in a holistic marketing environment to reach its potential.

That said, the powerful brand name will, without question, add energy to your marketing program, will make you stand out from the crowd, will make you memorable (very important in a world where word-of-mouth marketing is a key agency objective) and the right name could add real value to your company’s net worth.

“A” Is A Good Place To Start.

OK. One more final thought. A few years ago, I founded a company named ActiveBuddy – here is our start-up launch video. The name came from our entry into the Instant Messaging category with a service that let people use natural language to talk to computers using IM.  The name made sense – remember how active your buddy list was? That said, I witnessed a great extra benefit of ActiveBuddy when I attended Internet trade shows and realized that we were always at the top of the attendee, exhibitor or speaker list. Our name started with an “A”. While this realization was a “duh” moment, it made me fully understand the Power of the name AAA Plumbing within the context of directories and how important it is is to pay attention to every objective. Remember, gyro won’t go down easy in Athens.
